Organizations management


The administrator creates a DoPlanning tree using all the areas he needs at whatever levels required.


Every area can represent a Department; its subareas, the department’s sections, and so on up to the desired level.


Every area has its own repository of documents and messages. This way, documents and users’ messages stay well organized.


The tree provides a flexible, easy and powerful way to manage permissions.


  • When users are associated with an area, they get permission to see as well as to contribute any content
  • To get access to an area implies permission to every subarea derived from it. Thus, the person in charge of a department will automatically get permission to all the areas depending on that department with no need of further association

The DoPlanning functionality "cut and paste" areas makes it possible to easily change the organization structure since all the users, documents, and messages in any area and its subareas go together with it.


When users are removed from an area, their access permissions to that area, documents and messages, are automatically revoked. Thanks to this structure in which users do not get permission to specific documents but to areas (containing documents and messages), permission management becomes really simple and powerful.


The same user can be in several areas at a time. Whenever the departments, sections and units structure is not suitable to meet its objective, new areas can be created to fulfill specific functions and all the necessary users associated with them. For instance, if several heads of department must interact with each other but with no access to the others’ departments, under the area General Management it can be created the "Heads of Department Board" - where these Heads of Department can interact, post documents and minutes, send messages, etc- with new areas depending on it to better organize the contents in "Heads of Department Board": meetings area, projects area, etc. Following this example, if a secretary must contribute a document to the "Heads of Department Board" but not get access to the Board areas, it could be created an area called "Secretary of the Heads of Department Board" depending on the area "Heads of Department Board". The secretary would be a registered user in this area, contributing documents and sending messages that could be seen by all the members of the Board, but the secretary could not see the areas restricted to the Board.


A very useful functionality in DoPlanning lies in the administrator’s ability to define whether a specific user can see all the areas in the organization or just those where he is given permission.


This functionality is very useful to makes a distinction between the so called "Internal users" and "External users".


Frequently, organizations need interaction not only of their own members but also with people outside it, such as customers, partners, suppliers/providers, etc.


In these cases, external users can be registered to see only those areas where they have been given permission. These external DoPlanning users will log in with their assigned username and password, and they will not be able to see the departments in the organization, its projects or their name, etc.


On the other hand, internal users will be able to see all the areas of the tree after logging in, although they will only have access to the areas where they have permission.
